Procedure for Reserving Public Spaces

How to reserve a portion of a public park, Eagle Draw or Heritage Walkway

 If the event is a public event, defined as an event open to the general public for public benefit or to generate revenue, then the organizer shall fill out an “Application for Public Event” and submit it to the Mayor’s office.  The application will be circulated to internal departments for review and approval, and the request placed on the next council meeting agenda for council approval.  The sponsoring organization must provide liability insurance.  Other provisions such as security, sanitation, and crowd control may be required.  It is suggested that the request be made as far in advance as possible.

 

If the event is a private event, and the request is to reserve a shelter, band shell, or specific area then the organizer shall fill out a “Request for Use of Facilities” and submit it to the Mayor’s office.  The application will again be circulated internally to city departments for review and approval.  The request is then placed on the consent agenda for council approval (the consent agenda does not require the organizer to be present at the council meeting).  A signed “Waiver, Release and Indemnity” must accompany the application.

 

Fees may be assessed for the use of City services/resources.
